Vendor Permit Process

Please read each section below.  Complete and submit the Permit Request Form and submit all required documentation for each vehicle requiring access to Hualalai Resort property. Please contact us if you have any questions. Mahalo.

Permits

  1. Permits are non-transferable. Permits must not, under any circumstances, be duplicated, copied or used in any manner than the intended use.

  2. There will be no cost for company vehicles and the first vehicle. The fee for a second vehicle is $30.

  3. There will be a $30 replacement charge to for a lost permit.

  4. Revocation of a permit for violations(s) to the rules herein is subject to review for reinstatement and a fee of $100.

  5. Contact the Hualalai Villas and Homes Department 808-325-8533 and Resort Security at 808-325-8325 to report a lost, stolen, or revoked contractor permit.

  6. Contractors / Vendors must surrender all expired, terminated, invalidated permits to the Hualalai Villas and Homes Department immediately.

  7. Contractors / Vendors may access the resort from 7:00 am to 5:30 pm. Parking along the main entrance the resort is prohibited.

  8. Construction work hours are from 7:30 am to 5:00 pm, Monday through Friday. Contractor vehicles must enter and exit through the construction gate during the hours of 7:00 am through 11:00 am. After 11:00 am, construction traffic will enter and exit through the main entrance gate.

Drivers

  1. ALL drivers must be registered with Hualalai Resort prior to obtaining a Permit Pass.

  2. ALL driver requests must provide proof of State issued driver's license (United States) for permit issuance.

  3. Authorized drivers will be asked to present their Driver's License (current & unexpired) at the Security Gate prior to entry. (State issued- U.S. driver's license, NO international driver’s licenses accepted) 

  4. Supervisors may be contacted to confirm driver authorization.

Vehicles

  1. ALL requests must provide proof of current and unexpired vehicle insurance and vehicle registration.

  2. Supervisors may be contacted to confirm vehicle authorization.​​​

  3. To minimize violation of Hualalai Resort Work Rules and to reduce Permit Fees/Fines to you, it's suggested that companies have their employees carpool to work sites.​

Permit Processing

  1. Submit all Permit Forms before 1pm for next day pickup. Permits requests will not be expedited.

  2. The Hualalai Villas and Homes Department will review your information and contact you when your permits are ready for pickup.

  3. Authorized Persons can pick up permits at the Hualalai Villas and Homes Department across the street from Hualalai Trading Company.

No-Work Schedules & Work Rules

Familiarize yourself and your employees with the Hualalai Resort No-Work Schedules and Work Rules.

Weekend Work Permit

Quiet work: No loud equipment or work that causes a nuisance or street congestion in neighborhoods. 

Quiet weekend work requires a special permit and authorization. Please download and fill out the Weekend Work Permit.

Vendor Permit Request Form

The information you provide in this request form will be reviewed and confirmed prior to being issued a Permit Pass. Hualalai Resort requires this information for resort security, to prevent unauthorized resort entry, and accurately grant permission to worksites on Hualalai Resort grounds.

SIGNATURE AUTHORIZATION FOR PERMITS

The listed persons below are authorized to request and pickup permit(s) from the Hualalai Villas and Homes Department. Unauthorized requests will not be processed. Authorized persons will be asked to provide identification for confirmation at time of picking up a pass.

HUALALAI NO WORK SCHEDULE & WORK RULES

​I do hereby agree that myself, my employees and all subcontractors or their agents I employ for the above project shall abide by the rules at all times while on Hualalai Resort property.

I acknowledge having read the HUALALAI RESORT NO WORK SCHEDULES and HUALALAI RESORT WORK RULES. I further acknowledge having notified all members working on my jobsite that any behavior resulting in a negative guest experience will not be tolerated and that immediate action will be taken upon notification of any unacceptable situations.
